Xero Accounting Sync: Invoices, payments and credit notes from your store in Xero, with your account codes and tax types1 of 7
What it does
Xero Accounting Sync sends the orders of your store to Xero, the cloud accounting software used by many small businesses in the United Kingdom, Australia and New Zealand. You connect your own Xero app and your own organisation, so your order data goes straight from your store to Xero. It is made for stores that file VAT or GST returns from Xero, including Making Tax Digital submissions made from Xero, and for owners and accountants who re-key web orders.
How it works
Create an app in the Xero developer portal, enter its client ID and secret, press Connect to Xero and choose the organisation. Try it on the Xero Demo Company first. Map the sales, shipping and discount accounts, a bank account for each payment method and a tax type for each tax. When an order reaches the invoice status the invoice is booked; at the payment status the payment is recorded against your bank account; at the refund status a credit note is created and applied or paid back. Cron runs the queue.

Initial release.
Connection to Xero with your own app: OAuth 2.0 authorization code flow, encrypted tokens, organisation (tenant) selection, rotating refresh token under a database lock, weekly keep-alive.
Contacts found by e-mail or created, sales invoices (ACCREC) with product, shipping and order discount lines, account codes, tax types and tax amounts per line, tax-inclusive or tax-exclusive, draft or approved.
Payments against the invoice and the bank account mapped to the payment method; credit notes for refunds, applied to the invoice or paid back from the bank account.
Mapping page (account codes, bank accounts per payment method, tax types per tax) with lists loaded from Xero and suggested tax types for GB, AU and NZ.
Optional Xero items from product codes, invoice number prefix, due days, sync-from date, queue past orders, manual resync.
Idempotency keys on every create call, 429 Retry-After handling, job queue with retries, log with CSV export.
Multi-Vendor: marketplace owner books all vendor orders.
Tested on Multi-Vendor 4.17.2. First release.
Does it work with CS-Cart and Multi-Vendor?
Yes. The add-on supports CS-Cart and Multi-Vendor. In Multi-Vendor the marketplace owner books every vendor order in one Xero organisation (the default). Each vendor can instead connect their own organisation, but vendor-level books, commissions and payouts are not part of 1.0.
Which CS-Cart versions are supported?
4.17.2 to 4.21.x.
Where are my credentials stored?
In your own database, encrypted: the client secret and the access and refresh tokens. The key is derived from your store's secret in config.php, so a database dump alone does not reveal them. They are never shown again after saving.
Does it send data to Kavio Labs?
No. The add-on talks to Xero only (login.xero.com, identity.xero.com and api.xero.com). The license check sends your domain name to the Kavio Labs license server once a day (Kavio Labs downloads).
What happens when Xero is down?
Jobs fail, wait and are retried automatically (5 minutes up to 12 hours). Nothing is lost and nothing is sent twice.
What happens when the license expires?
New work stops (no new invoices, payments or credit notes). Jobs already queued are still finished.
How do I get updates?
Install the new package over the old one. See Installation.
How do I get support?
Contact us through https://cs-cart.kaviolabs.com.
Do I need a Xero developer account or a paid plan?
You need a free Xero developer account to create your own app (client ID and secret) and a Xero organisation to book to; the Demo Company is free for testing. Check Xero's current terms for API access limits on your plan.
Does it work with UK Making Tax Digital?
It sends VAT tax types and amounts with every line, so your VAT return in Xero is built from your web orders. Submitting the return to HMRC is done from Xero, not by this add-on.
Can it book partial refunds?
Not in 1.0: the credit note is for the whole order.
Is it a Xero certified app?
No. It is an independent add-on that uses Xero's public API. It is not certified or endorsed by Xero.
