QuickBooks Online Sync: Invoices, payments and refunds from your store in QuickBooks Online, with your items and tax codes1 of 7
What it does
QuickBooks Online Sync sends the orders of your store to QuickBooks Online, the cloud accounting software used by many small businesses in the United States, Canada, the United Kingdom and Australia. You connect your own Intuit app and your own QuickBooks company, so your order data goes straight from your store to QuickBooks. It is made for store owners and accountants who re-key web orders and want sales tax and income in the same books as the rest of the business.
How it works
Create an app in the Intuit developer portal, enter its client ID and secret, and press Connect to QuickBooks. Try it on a sandbox company first. Map a default item, the deposit account for each payment method and the tax codes. When an order reaches the invoice status the invoice is booked; at the payment status the payment is recorded, or one sales receipt is booked; at the refund status a credit memo is applied to the unpaid invoice or a refund receipt pays the money back. Cron runs the queue.

Job queue with retries and back-off, cron (command line and secret address), log viewer with CSV export.
Multi-Vendor: the marketplace owner books all vendor orders.
Tested on Multi-Vendor 4.17.2. First release.
Does it work with CS-Cart and Multi-Vendor?
Yes. The add-on supports CS-Cart and Multi-Vendor. In Multi-Vendor the marketplace owner books every vendor order in one QuickBooks company (the default). Each vendor can instead connect their own company, but vendor-level books, commissions and payouts are not part of 1.0.
Which CS-Cart versions are supported?
4.17.2 to 4.21.x.
Where are my credentials stored?
In your own database, encrypted: the client secret and the access and refresh tokens. The key is derived from your store's secret in config.php, so a database dump alone does not reveal them. They are never shown again after saving.
Does it send data to Kavio Labs?
No. The add-on talks to Intuit and QuickBooks only (appcenter.intuit.com, oauth.platform.intuit.com and quickbooks.api.intuit.com, or sandbox-quickbooks.api.intuit.com in test mode). The license check sends your domain name to the Kavio Labs license server once a day (Kavio Labs downloads).
What happens when QuickBooks is down?
Jobs fail, wait and are retried automatically (5 minutes up to 12 hours). Nothing is lost and nothing is sent twice.
What happens when the license expires?
New work stops (no new documents, payments or refunds). Jobs already queued are still finished.
How do I get updates?
Install the new package over the old one. See Installation.
How do I get support?
Contact us through https://cs-cart.kaviolabs.com.
Do I need an Intuit developer account or a paid plan?
You need a free Intuit developer account to create your own app (client ID and secret) and a QuickBooks Online company to book to; sandbox companies are free for testing. Intuit asks you to complete an app questionnaire before it issues production keys. Check Intuit's current terms for API access on your QuickBooks plan.
Invoices or sales receipts?
Both are supported, chosen in the settings. Invoice mode books an invoice and then a payment against it. Sales receipt mode books one sales receipt when the order is paid, which suits stores that are paid at checkout and do not want open invoices.
How is sales tax handled?
For United States companies with automated sales tax the add-on sends the tax amount of the order as the total tax, so QuickBooks shows the figure the customer paid. For companies in other countries you map your tax codes and QuickBooks calculates the tax from their rates. See Configuration.
Can it book partial refunds?
Not in 1.0: the refund is for the whole order.
CS-Cart already has a Quickbooks add-on. How is this different?
The bundled add-on exports selected orders to an .iif file that you import by hand into QuickBooks. QuickBooks Online Sync connects to QuickBooks Online through its API and books customers, invoices or sales receipts, payments and refunds by itself, with retries and a log. The two can be installed side by side.
Is it a QuickBooks certified app?
No. It is an independent add-on that uses the public QuickBooks Online API. It is not certified or endorsed by Intuit or QuickBooks.
