Usage

  1. Orders are placed. Core accounting records each vendor order with the commission the marketplace keeps (Vendor plans, category fees and commission add-ons decide the amount). Refunds and order changes add further accounting rows; vendor plan fees are charged to the vendor balance.
  2. The period ends. The next invoice run (cron, or an admin or vendor page view) creates one invoice per vendor for the period, with every transaction up to the end of the period that has not been invoiced yet. Vendors with nothing to invoice get no document.
  3. You review the drafts in Vendors → Commission invoices (filter Draft). Add fees or corrections, write a note, or click Refresh from accounting if accounting changed since the draft was made.
  4. You issue them, one by one or with Issue selected. Each document gets the next number, the seller and vendor details are copied into it, and the vendor gets it by e-mail.
  5. Settlement. With the default settlement the commission is already withheld from the vendor’s payouts, so the document is marked Paid at once (unless tax or an uncharged fee is due). Otherwise mark it paid with a payment reference when the vendor pays.

With Issue automatically on, steps 3 and 4 happen by themselves.

Vendors → Commission invoices. Filter by status (Draft, Issued, Paid, Void), vendor, type, number, period (2026-09, 2026-Q3, 2026-W38) and issue date. Bulk actions: Issue selected, Mark selected paid (with one payment reference), E-mail selected and Delete selected drafts (issued documents are never deleted). The sidebar exports the documents or every line as CSV for your accounting software (UTF-8, cells that could be read as formulas are neutralised).

  • Summary: commission on sales (number of orders and amount), commission refunds and reversals, vendor plan fees, and each of your adjustments.
  • Totals: net total, tax line (name and rate, or reverse charge/exempt with your note), total, the part withheld from payouts and the amount due (with the due date when payment terms apply).
  • Transactions (setting): every line with date, order, order amount, commission rate and amount. This makes the invoice the vendor’s commission statement for the period.
  • Seller and bill-to blocks, your notes and your footer text.

Every amount comes from core accounting. The add-on never calculates a commission itself, so the invoice always matches Vendors → Accounting.

A transaction is invoiced once. If accounting changes later, the next invoice of that vendor corrects it:

What happens Next invoice shows
An invoiced order is cancelled or moves to a status that does not count for payouts Commission reversal (credit line)
A refund (for example through RMA) Commission refund (credit line)
The order comes back to a counting status The commission again
A transaction is deleted in Accounting Reversal of the invoiced amount
A vendor plan fee is declined Plan fee reversal
A transaction recorded late (with an older date) The transaction, with its date

When the corrections of a period outweigh the new commission, the document is created as a credit note.

A draft has no number. On its page you can:

  • add a fee or correction line: description, amount (negative = credit), taxable, and in withheld settlement Charge to vendor balance (when issued, the amount is recorded in core accounting: a fee lowers the vendor balance, a credit raises it, so the vendor’s payouts settle it);
  • remove a line (its transaction is taken by the next invoice);
  • edit the notes printed on the document;
  • Refresh from accounting (rebuilds the commission and plan fee lines; your own lines stay);
  • Preview the document, Issue it or Delete draft.

On an issued or paid invoice:

  • Full credit note creates a draft that reverses every line and the tax at the invoice’s rate. When issued, the reversed transactions are free again: the next invoice (or a refreshed draft) invoices them again with the current data. Use it when an invoice was wrong as a whole (wrong vendor details, wrong tax treatment).
  • Partial credit note creates an empty draft for your own correction lines; the amount you enter is credited.

Credit notes have their own number sequence (CN-) and show “Credit for” with the invoice number.

Void (with a reason) cancels an issued or paid document: it stays in the list with its number and a VOID mark, its transactions are taken into the next invoice, and charges the add-on recorded in core accounting for it are declined there. Use void only where your accounting rules allow it; many countries require a credit note instead.

Vendors → Commission invoices → Generate: choose a period (the current one is allowed and invoices up to now) and vendors (none = all). Issue right away gives numbers and e-mails at once. Vendors that already have an invoice for the period are skipped; after a void, the period can be generated again.

Vendors → Commission invoices → Billing details: one row per vendor with legal name, tax ID and tax treatment. Until you save them, details come from the vendor profile (company name, address, e-mail, tax number). The billing e-mail receives the documents. Tax treatment and rate can only be set by administrators.

Vendors open Commission invoices next to Accounting:

  • their issued, paid and void invoices and credit notes with period, total, amount due and status;
  • View opens the print view (print or save as PDF), PDF downloads the file when the PDF documents add-on is active;
  • Billing details to view or (setting) edit their legal name, address, tax ID and billing e-mail.

Drafts are never visible to vendors.
